Easily delegate calls and texts to your team with shared numbers in OpenPhone. Handle multiple calls simultaneously and set up custom call flows during and after business hours. Plus, access texting, AI call summaries, integrations, and more.
Call delegation is a business phone feature that lets you assign a phone number to another team member to be able to place calls, answer calls, and text on your behalf.
With call delegation, you can share responsibility for incoming calls and texts. Teams of any size can use call delegation to reduce missed calls and callbacks, prevent losing business, and decrease call hold times for their customers. It’s another tool your team can use to improve your overall customer experience.
OpenPhone account owners and admins can add team members to a shared number. You can assign team members to admin or member roles. Both options allow users to make calls and send texts, but only admins can adjust your phone settings.
If you’re a manager who wants oversight into your conversations but doesn’t want incoming call notifications, you can easily set that number to Do Not Disturb.
While some business phone systems have separate call delegation settings — like delegation privileges and delegation requests — OpenPhone helps teams share calls and texts by default, so everyone has the context they need to communicate with customers.

Choose your preferred phone number for every team and department, including local US and Canadian numbers and North American toll-free numbers.
All OpenPhone plans include a number for every user who joins your workspace so your teammates can make and receive calls from their own direct phone numbers. And if you need more numbers, additional numbers cost $5 per number per month.
OpenPhone can help you and your team work better together. Share incoming calls and texts with shared numbers (also known as shared lines or shared phone lines). View all your communications — call history, texts, voicemails, recordings, and more — in one place with shared inboxes.
Tag team members in internal threads to alert them to customer issues or assign follow-up tasks. Plus, no need to follow up with them — inbox viewers let you know which colleagues have reviewed specific recordings or conversations.
Understand how your team is doing with OpenPhone. See your team’s performance in real time, including active calls, with call views. Review calls quickly using our AI call summaries and transcripts. You can even surface specific trends with AI call tags.
Plus, track how your team is doing on a weekly, quarterly, or annual basis with our analytics. You can track individual team members or a specific department. And if you need to add or remove teammates in your OpenPhone account, you can make changes to who has access to your shared numbers in our Settings tab.
Manage inbound call routing easily with OpenPhone. Set up custom business call flows with our call flow builder. Choose a dial order with custom ring groups, give customers self-serve options with phone menus, and direct incoming calls to a secondary number with our call forwarding options.
Add multiple team members to your calls with group calling or hand off customers to your colleagues with call transfers. Can’t take a call at the moment? Custom voicemail greetings let your customers know what information to leave and what to expect next.

Call delegation involves phone users taking calls on behalf of someone else. Group call pickup involves multiple team members attending a call at the same time.
In OpenPhone, call delegation takes place by default if team members share phone numbers. Once someone answers a call, they can add another user to an existing call and make it a three-way call or a group call if needed.
OpenPhone doesn’t have a separate delegation request process for sharing access to an OpenPhone number. Just share a number with a team member, and they’ll be able to call and text from that number.
Here's how to share a number on OpenPhone:
1. Go to Settings and then Phone Numbers.
2. Click the number you would like to assign, re-assign, or un-assign.
3. Under Users, hit the Add users option.
4. Type in the name or search for the team member and hit Enter.
5. Choose whether to add the user as a member or an admin.
Microsoft Teams and Zoom Phone offer call delegation as a separate feature in their business phone tools. For both these tools, you need to activate delegation privileges in a separate delegation section so that a phone user can place calls on an executive’s behalf or behalf of the delegator.
With OpenPhone, call delegation is enabled by default. Simply invite team members to a phone number to share it with them, and they can automatically make calls from the same number.
